Vapi / Implementation guide

Vapi billing recovery for fitness and gym franchises

Fitness & Gym Franchise Networks can connect Mindbody API decline events to n8n and Vapi for authorized account reminders, with Claude summarizing callback intent. Use an approved hosted card-update flow instead of asking members to speak card credentials. A declined card is not proof that an account owes a collectible balance; cancellations, disputes, paused memberships and duplicate payment attempts require checks.

Tools: Vapi; n8n, Claude 3.5 Sonnet, Mindbody API
01

The industry-specific problem

Staff avoid awkward billing calls while recurring declines accumulate. Aggressive automation can contact a canceled member or trigger a second charge after the first payment succeeded asynchronously.

02

Step-by-step workflow

  1. Retrieve authorized Mindbody decline and membership status data in n8n, reconciling later successful payments first.
  2. Exclude canceled, disputed, paused or suppressed accounts under your actual membership policy.
  3. Have Vapi verify the appropriate account contact and offer a secure update link, applying outbound permission and recording rules.
  4. Use a supported Claude model for non-sensitive intent summaries, replacing the retired Claude 3.5 Sonnet ID. Never send PAN or CVV to it.
  5. Reconcile payment-provider success before marking recovery in Mindbody; route disputes and hardship discussions to staff.
03

Visual workflow

Mindbody decline → n8n membership/payment reconciliation
→ authorized Vapi reminder → secure update link
→ verified payment event → Mindbody recovery OR staff dispute review

Specific configuration example

This n8n Code-node fragment consumes a normalized, authenticated event from preceding integration steps. It demonstrates the decision boundary, not a complete API client. Fields are workflow-local mappings, not claimed vendor field names. Upstream credentials, schema validation, permissions, durable reservations and provider operations must be implemented separately. Numeric policy examples are illustrative, not Imperio service terms.

// n8n Code node: no spoken card-data collection
const account = $json;
const eligible = account.membership_active && !account.payment_now_succeeded &&
  !account.disputed && account.contact_authorized;
return [{ json: { memberRef: account.member_ref,
  action: eligible ? "send_approved_payment_update" : "hold",
  readCardNumber: false, askCvv: false,
  recovered: account.verified_payment_event === true } }];

Outcome to measure

Illustrative planning metrics only. Not verified client results.

Measure recovered overdue balances, false reminders and member complaints. Illustratively, 20 legitimate $80 overdue payments recovered equals $1,600 cash collected, not incremental profit or a proven result.

06

Compared with manual work or other tools

Email dunning is cheaper and less disruptive for many members. Voice helps resolve confusion but should complement clear billing policy and easy staff contact, not pressure people into payment.

Work with Imperio Automation

Ask Imperio to scope a Mindbody recovery workflow with secure payment updates and dispute holds.

Frequently asked questions

Can members read their new card details to the agent?

Do not support that. Keep card capture in a separately validated secure payment flow.

Should paused memberships receive reminders?

Only if your verified policy and account state establish an actual amount due.

What if payment succeeds after the reminder is queued?

Reconcile again before calling and suppress the stale reminder.
