Vapi / Implementation guide

Vapi late-checkout coordination for hotel networks

Franchise Hospitality & Hotel Networks can connect Vapi, n8n, Claude and Opera Cloud PMS to handle routine extension requests. Verify authorized Opera/OHIP access and housekeeping signals before offering a price. A room’s availability is not the same as permission for late checkout: incoming arrivals, cleaning workload, loyalty benefits and local policy must be reconciled.

Tools: Vapi; n8n, Claude 3.5 Sonnet, Opera Cloud PMS
01

The industry-specific problem

Front desks answer the same extension questions during departure peaks. An agent promising noon checkout without considering a blocked arrival or housekeeping turnaround creates an operational problem rather than removing one.

02

Step-by-step workflow

  1. Verify the hotel’s approved Opera Cloud PMS integration and reservation identity checks.
  2. Read the stay, loyalty eligibility and configured extension policy in n8n; obtain housekeeping readiness through a supported authorized source.
  3. Use a supported Claude model to explain approved options without inventing prices, replacing the retired Claude 3.5 Sonnet requirement.
  4. Have Vapi confirm the guest’s choice and any charge after identity verification; exceptions go to the front desk.
  5. Recheck room constraints and post the extension/charge only through permitted PMS operations with a replay-safe reservation reference.
03

Visual workflow

Guest call → Vapi reservation verification → n8n Opera policy + room constraints
→ approved priced options → guest approval
→ recheck + PMS posting OR front-desk exception

Specific configuration example

This n8n Code-node fragment consumes a normalized, authenticated event from preceding integration steps. It demonstrates the decision boundary, not a complete API client. Fields are workflow-local mappings, not claimed vendor field names. Upstream credentials, schema validation, permissions, durable reservations and provider operations must be implemented separately. Numeric policy examples are illustrative, not Imperio service terms.

// n8n Code node: sample hotel policy must come from the property
const stay = $json;
const eligible = stay.identity_verified && stay.extension_policy_allows &&
  !stay.early_arrival_conflict && stay.housekeeping_capacity_confirmed;
return [{ json: { reservationId: stay.opera_reservation_id,
  offerExtension: eligible,
  approvedPriceMinor: eligible ? stay.policy_extension_price_minor : null,
  postAllowed: eligible && stay.guest_approved && stay.constraints_rechecked,
  operationKey: `${stay.opera_reservation_id}:${stay.extension_request_id}` } }];

Outcome to measure

Illustrative planning metrics only. Not verified client results.

Measure routine calls removed from the departure queue and extensions posted without room-turn conflicts. Illustratively, 60 calls saving three front-desk minutes each releases three staff hours during peak checkout.

06

Compared with manual work or other tools

A guest app works well for digitally engaged travelers. Voice helps phone-first guests, while the front desk must retain discretion for VIP requests, oversold nights and operational exceptions.

Frequently asked questions

Can the agent promise an extension from room availability alone?

No. Confirm arrivals, housekeeping, policy and guest eligibility.

Can it change late-checkout pricing dynamically?

Only within the property’s approved authoritative pricing rules.

What if the posting times out?

Read the reservation/folio state before retrying so a guest is not charged twice.
